Ophthalmic Associates specializes in comprehensive eye care for adults and children, cataract surgery, glaucoma care and procedures, refractive surgery, and strabismus surgery. Its six doctors work out of a single location in Las Vegas.

Opportunity

Ophthalmic Associates had a long-standing policy of following up on lost patients. Unable to find better tools prior to the introduction of Brevium, they used manual chart review to identify lost patients. The time and effort required was significant, and although their manual process made a difference in the number of lost patients, they felt they could do much better with automated tools.

Bobbette Smith, the Administrator at Ophthalmology Associates, brought Brevium in with three goals in mind. First, they had just terminated a large, underpaying insurance contract and wanted to quickly replace lost business. Second, she wanted to boost surgical volume without overrunning clinic schedules, which were already full for some of her doctors. Finally, she wanted to make it easier for her staff to follow up on lost patients by eliminating the need for manual chart review and manual record-keeping of contact attempts.

Solution

Brevium was installed and configured to follow up on patients for 3 specific doctors in the practice. Installation and training were completed in a single day, and calls began that afternoon.

Ophthalmology Associates uses Brevium's Admin Program to reconfigure the product regularly to focus only on surgical candidates, and runs this configuration for its busiest doctors in order to boost surgical volume without overrunning their clinic hours. They added two cataract exam slots each day and set these aside exclusively for Brevium to fill. Once these slots are full, they reconfigure the product to focus on other visit types for doctors with available clinical capacity.

Ophthalmology Associates also requested that support be added for pediatric ophthalmology. Brevium agreed, and added the support.

Results

Ophthalmic Associates has seen a significant increase in overall visit volume, and its innovative approach to increasing surgical volumes without overrunning clinical schedules has proven to be very successful.
